How it makes and monitors grants (Schedule I, Part IV)

Awards to family resource centers(frcs) are formalized with a contract that consists of a scope of services and a budget. the scope of service is entered into a spreadsheet to make sure each point coordinates with an approved use for the money. a written request and approval is required for amendments to either the scope of service or budget spreadsheet of goals to ensure it meets the grant requirements. technical assistance is provided at an initial info session when the grant is awarded. topics covered include, amount of award, timelines, appropriate use of funding, maintaining accurate back up records of costs incurred allocated to grant (including receipts, timesheets, contracts), and invoicing and amendment procedures. grant management guidance is also provided to the frcs by organization staff on an as needed basis via email, zoom and telephone. this technical assistance is tracked in quickbase, the data and reporting software, to ensure frcs are carrying out services as agreed. scope of services are adhered to through monthly check ins and even more regular phone conversations regarding eligible costs and timelines for spending down the award. progress on scope of services and spending is formally correlated and reported in written quarterly and annual reports which also include data about the number of families served, the types of services provided and how those services relate to the goals of the grant. invoices are received monthly from frcs detailing current perio
