How it makes and monitors grants (Schedule I, Part IV)
Once an organization has been approved for the grant, the check and a contract is sent out. It is the responsibility of the organization to sign a copy of the contract and send it back for the Foundation's records. The contract states the amount the organization is receiving and what it is specifically to be used for. The contract also informs the organization of a required final report that is due one year from the application date. With the final report, the organization is to submit copies of all receipts that the grant money was used for. If for some reason the organization needs to deviate from the initial project they can submit a deviation request to be approved by the grant committee and board of directors. At this point, the grant committee can ask for a portion of the grant funds to be returned, the whole amount to be returned, or approve the deviation. All applications and all deviation/continuance requests, along with all final reports are kept on file with the grant contracts. Once the final report is received with all supporting documentation, the grant is closed.
